Join our dynamic team at WDM International as a Receptionist / Office Assistant. We are seeking for a highly organised, self-motivated and energetic individual to handle daily administrative duties and ensure seamless operations.
The selected candidate will have the following responsibilities:
This is a full-time position, working from office. The working hours are Monday to Friday normal office hours.

The selected candidate will have the following responsibilities:
- Greet visitors, answer incoming calls and direct inquiries as needed
- Handle incoming and outgoing correspondence
- Procure and source quotations for office and other supplies and maintain adequate stock levels to meet daily office needs
- Oversee the upkeep of the office building and equipment repairs to ensure a safe workspace
- Collaborate with colleagues to maintain a clean, well-organised, and welcoming office space
- Maintain both physical and electronic files, ensuring proper scanning, filing, archiving and easy retrieval of documents
- Coordinate travel arrangements and book training seminars for staff and management, incl. the update of an internal training schedule for easy compilation of CPE returns at the end of the year
- Handle sensitive and confidential information with utmost discretion
- Assist management and their teams with general administrative tasks as required
- Act as the main point of contact for staff, addressing any concerns or requests related to the office environment.
- Prepare and monitor meeting / board rooms to ensure they are well-kept and always replenished
- Run errands within the vicinity of the office
- Liaising with our IT service provider under management’s instructions in case IT problems arise
- Coordinate seating, IT equipment, email accounts / signatures / and stationery for new staff
- Handle other ad-hoc duties as required to ensure operational continuity

Skill-sets and requirements
- Experience within a similar role will be considered an asset
- Proficiency in both spoken and written English and Maltese
- Possess excellent organizational skills with the ability to multi-task
- Have strong interpersonal skills and an ability to build and maintain relationships
- Be meticulous with the ability to work on own initiative, pre-empt requirements and deliver with high attention to detail
- Highly proficient in Microsoft Office tools
- A positive, energetic can-do attitude and adapt quickly to changing priorities
