We seek a diligent and proactive Administrative and Personal Assistant to provide comprehensive administrative support to our office and personal assistance to the Part 145 Accountable Manager. This role is pivotal to the efficient operation of our office, ensuring that all administrative tasks are managed efficiently and professionally. The successful candidate will foster a well-organized and productive environment, adeptly balancing administrative functions with personal assistant responsibilities.
Key Responsibilities:
- Assist the Part 145 Accountable Manager with personal tasks, such as managing personal schedules, appointments, and reservations when needed.
- Draft, review, and manage emails and other correspondence on behalf of the Part 145 Accountable Manager.
- Arrange employee travel and accommodation; ensure timely submission and reconciliation of expense reports.
- Maintain an orderly document folder and filing system.
- Prepare reports and spreadsheets, update action plans and take minutes.
- Manage and control office and supplies / inventory.
- Greet visitors and customers, making necessary arrangements for visits.
- Assist with employee HR queries.
- Process time and attendance records.
Knowledge, Skills, and Academic Qualifications:
- Previous work experience as an office administrator / officer or in a similar role.
- Sound knowledge of office working procedures.
- Proficiency with office management software systems, including MS Office Suite.
- Strong organisational skills with attention to detail.
- Proactive, multitasker, and outspoken.
- Ability to see the bigger picture and anticipate needs.
- Can-do attitude.
- Excellent written and verbal communication skills in the English language.
- Preferably qualified to MQF level 3, holding a qualification in Business and Administration or equivalent.
