Schedule and dispatch workers, equipment, or service vehicles. Receipt, processing and distribution of all catering orders for air carriers and monitoring of all flights until their departure time. Directly supervise and coordinate the activities of clerical and administrative support workers.
Major Duties and Responsibilities:
- Responsible for liaising with the Deputy General Manager on the day-to-day operations.
- Prepare documentation related to catering orders / supplies (supplies list, delivery order, stickers) for food and non-food production.
- Responsible for organizing and scheduling transportation of catering according to customer’s ramp movements and/or other requirements including deployment of personnel to man transportation units.
- Coordinates with other departments to ensure timely smooth running of production.
- Ensure that catering for all customers is ready on time for departure as and when requested.
- Ensure the proper use of aircraft check sheets for the preparation of meals. Make the necessary entries on all dispatch documents in a neat, organized and legible manner.
- Sealing and documenting of catering trolleys.
- Provide the necessary documentation for invoicing.
- Exercise due diligence in the handling of cash payments and managing such payments in a secure manner to avoid losses, pilferages and thefts.
- Ensure that all requested top-ups are prepared / delivered to the aircraft on time and without any delay.
- Ensure that hygiene standards are strictly maintained and observed by personnel deployed within the dispatch section.
- Exercise due diligence to ensure that all security measures as stipulated by the company, AVSEC, MIA or any other relative airport authority are observed at all times.
- Maintain a good business relationship with all customers.
- Is entirely responsible for the whole operation in the absence of senior management.
- Maintain a high level of personal hygiene, be well groomed and wear a clean uniform.
- Coordinate activities with other departments to ensure that services are provided in an efficient and timely manner.
- Aid and assist in the daily duties and requirements of the department.
- Confer with staff to resolve performance and personnel problems, and to discuss company policies.
- Instruct staff in work policies and procedures.
- Recommend changes that could improve service and increase operational efficiency.
- Maintain a high level of product quality and performance in his/her work,
- Maintain a high level of efficiency in the performance of his/her duties.

Food Safety Requirements / Responsibilities:
- Must be in possession of a valid food Handling license (B).
- Observe and follow hygiene, health and safety standards and monitors that Hazard Analysis and Critical Control Point (HACCP) regulations are observed by all at all times.
- Maintains and monitors quality by conducting frequent quality control checks according to all HACCP regulations and procedures.
- Monitor to ensure that all traceability sheets are filled in correctly.
- Participate and support company-sponsored initiatives such as General Quality Standard (GQS), HACCP, Lean Manufacturing.
- Responsible to check and ensure that all food leaving the unit destined for the customers is according to the description, is well presented according to specifications and is stowed in a neat, orderly and food-safe manner.
- Maintain a high level of HACCP and ISO 22000 standards in the performance of his/her duties.
- Observe all HACCP product and environment rules and report to superiors any practice or products which are not according to HACCP rules.
Qualifications:
- Experience in exercising good control, coordination and communication with other employees.
- Experience in managing personnel resources - motivating, developing, and directing people as they work, identifying the best people for the job.
- Administration and management - knowledge of business and management principles involved in strategic planning, resource allocation, human resources modelling, leadership technique, production methods, and coordination of people and resources.
- Customer and personal service - Knowledge of principles and processes for providing customer and personal services.
- Clerical - knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures.
- Good command of written and spoken English and numerical skills.
- Must be computer literate.
- Must have AVSEC security clearance at all times.
Physical Demands:
- Ability to communicate orally with customers, management, and other co-workers, both individually and collectively.
- Regular use of the telephone for communication is essential.
- Adequate aptitude to solve a wide range of operational problems.
- Interacting with Computers - using computers, to enter data, or process information.
Work Environment:
- Ability to work in a cold temperature environment.
- Extensive work interfacing with people.
- Ability to work night shifts and weekends.
