Insignia is one of the most bespoke high-end lifestyle management and payment service groups in the world. We are seeking an Executive Assistant to join Insignia Cards Ltd, a financial institution providing card products and services to clients in Malta and other European countries.

An exciting opportunity for the right individual who is seeking a career within a dynamic company, fast expanding both locally and internationally.

Key Responsibilities:

  • Provide administrative assistance to the CEO and C-level management on a variety of different projects and tasks as and when required.

  • Act as the point of contact among executives, employees, clients, and other external partners on behalf of the CEO.

  • Reach out to various departments within the organization to gather updates and progress to feedback to the CEO.

  • Manage the CEO’s calendar and set up meetings as and when required.

  • Maintaining comprehensive and accurate records.

  • Providing front-of-house support, welcoming clients, and suppliers and answering phone calls.

  • Minute taking when necessary.

  • General office management duties.

  • Supporting the Group Executive Office team.


Professional Requirements:

  • At least 4 years experience in an administrative role reporting directly to upper management.

  • Flexible and willing to work flexibly if required.

  • Excellent written and verbal communication skills.

  • Time-management skills.

  • Ability to juggle various projects and tasks at once.

  • Exceptional organisational skills.

  • Extreme attention to detail.

  • Proficiency in Microsoft Office and other office productivity tools.

  • Experienced in compiling and writing reports.

  • Interpersonal skills.

  • Previous experience working within financial services is desirable.
