Due to further growth, Chiswick House School and St Martin’s College are currently looking for a motivated, proactive and diligent person with an aptitude for secretarial support work, looking for a varied role that plays a pivotal part in the smooth running of the office and our school.

We are accepting applications from candidates to fill the post with immediate effect, of School Administrative Secretary / PA (full and / or part-time).

The responsibilities of this role include:

  • Provide high-quality administrative assistance and support to the reporting Senior Leader;

  • Provide support services to the Senior Leadership team;

  • Ensure that prevailing quality standards are maintained at all times;

  • Provide quality customer care and communication, addressing daily queries and correspondence;

  • Assist with issuing school circulars and information updates;

  • Foster and develop good employee relations within the School;

  • Assist in the organisation of the replacement of teachers according to the loadings and keep note of teachers who have done replacements;

  • Receive and file applications for special leave and sick leave from the academic staff;

  • Provide secretarial and office support to the team;

  • Assist with matters that may arise.


The ideal candidate should:

  • Have a post-secondary education;

  • Have past experience as an Administrative Assistant or Personal Assistant;

  • Have good knowledge of office management systems and procedures;

  • Have excellent time management skills and the ability to multi-task and prioritise;

  • Be methodical and have strong organisational and planning skills;

  • Be highly dependable, trustworthy and maintain confidentiality;

  • Have problem-solving skills and attention to detail;

  • Have excellent written, verbal and interpersonal communication skills;

  • Have strong organisational skills with the ability to multi-task;

  • Have the ability to work within a team;

  • Be flexible and willing to adapt to the organisation’s needs and new systems;

  • Have working knowledge of office equipment;

  • Be proficient in MS Office (MS Excel, Word, PowerPoint);

  • Additional qualifications and courses in the field will be considered an asset.
