We are seeking a highly organized and detail-oriented Operations, Procurement and Compliance Assistant to support the Director of Property with storekeeping, procurement, supplier coordination (including repairs and service agreements), eco-certification, compliance tasks, and day-to-day administration. The ideal candidate will have a proactive mindset, excellent communication skills, and the ability to manage multiple responsibilities with precision and discretion.
Main Responsibilities:
Monitor and flag stock shortages or overstock situations
Conduct and report on regular stock checks
Prepare purchase requests and gather quotations
Keep an organised record of suppliers, pricing, and delivery timelines
Support daily procurement tasks while I remain involved in decision-making
Follow up with suppliers for overdue items, scheduled repairs, and service obligations
Manage timelines and reminders for maintenance/service agreements
Log all interactions and escalate unresolved issues
Organise and track required documentation for certification
Assist with implementing sustainable practices linked to procurement and operations
Liaise with consultants or certification bodies as needed
Maintain compliance records (licenses, permits, audits, etc.)
Assist in audit preparation and policy documentation
Handle day-to-day office admin, including filing, reporting, and data entry
Ideal Candidate Profile:
Highly organised and methodical
Fluent in English, with clear written and spoken communication
Proficient in Microsoft Excel, Outlook, and general office software
Able to work independently and take initiative
Interest in sustainability, compliance, or maintenance coordination is a plus
A driving license is desirable
