Role Overview

The role of the CEM Customer Service Officer is formulated with the primary function of assisting the Senior Account Manager with various customer and project-related work. This may involve interaction with end-customers, suppliers, production, and any other ancillary departments or entities. While the initial focus may be on order processing tasks, it is understood that the nature of this position is dynamic and will evolve in conjunction with the size and needs of the CEM department, its customer base, and its product range.

Key Responsibilities:

  • Maintaining order entry and processing on the Oracle system;

  • Ensuring to be in line with customer order details, including shipping terms, prices, and deliveries;

  • Sending out proforma invoices for prepayment-based customers;

  • Coordinating the order confirmation process with planning;

  • Confirming the orders and rescheduling the orders when required;

  • Coordinating price issues and terms with sales;

  • Updating customers on any problems in deliveries;

  • Filing and archiving of customer service documents;

  • Order Maintenance (including frame orders / volume contracts);

  • Providing labels and other quality certificates required for the customers, apart from shipping labels;

  • To get shipping quotations where necessary and organise shipping with shipping agents;

  • To supply any documentation needed by the customer, e.g. certificate of origin, supplier declaration, etc;

  • Invoicing and sending proforma invoices as a backup for dispatch personnel;

  • Following up shipments, making sure units arrive in time and in good order to the customer;

  • Dispatch coordination with Logistics and the warehouse in Germany.

Qualifications, Requirements and Key Skills:

  • Sound education with a good knowledge of the English language, both spoken and written;

  • Knowledge of the Italian language would be considered an asset;

  • Experienced in using MS applications;

  • Able to fill in documents efficiently;

  • Organised and meticulous approach to work;

  • Excellent team playing skills;

  • Personal qualities of drive, energy, and enthusiasm;

  • Assertiveness and an eye for detail.
