The role requires practical shipping and customs knowledge, sound judgement, clear communication and the ability to resolve routine issues independently.

Key Responsibilities:

  • Supplier Orders and Inventory Planning

    • Manage the purchase order cycle for assigned suppliers, from order placement and follow-up through to delivery; act as the main contact for routine queries.

    • Work with Commercial and the Supply Chain Team Lead to review stock cover, lead times, forecasts, and potential shortages or excess stock.

    • Keep ERP records accurate, including purchase receipts, batches, expiry dates, product/vendor details and AP bills for product and freight invoices.

    • Coordinate with the warehouse on incoming stock, discrepancies, stock counts and quality-related receipt issues.

  • International Shipping, Customs and Deliveries

    • Independently arrange and monitor air, road and courier shipments, compare freight costs and service options, and resolve routine delivery issues.

    • Coordinate temperature-controlled shipments, ensuring appropriate transport conditions, temperature monitoring and timely escalation of temperature excursions.

    • Review invoices, packing lists, HS codes, origin and duty/VAT information; coordinate Malta customs clearance with agents and resolve documentation queries.

    • Coordinate deliveries to CPSU and other Government entities, including delivery requirements and communication with warehouses.

    • Prepare and submit Malta Intrastat declarations within deadlines and issue monthly marine insurance reports.

  • Ownership and Improvement

    • Prioritise urgent work, keep stakeholders updated, follow actions through to completion and escalate significant risks or decisions outside agreed limits.

    • Identify practical ways to reduce recurring errors, delays and manual work in supply chain processes.

Requirements:

  • Strong hands-on experience in international shipping/logistics, including independent freight coordination and customs-clearance processes.

  • Practical knowledge of Malta customs procedures, shipping documents, HS codes, origin, duty/VAT and Incoterms.

  • Experience coordinating temperature-controlled shipments, with knowledge of temperature monitoring and data logger requirements.

  • Excellent written and spoken English is mandatory, with the ability to communicate clearly and confidently with suppliers, carriers and other stakeholders.

  • Good written and spoken Maltese would be considered an asset.

  • Strong Excel skills, including formulas, lookups, PivotTables and reporting, together with practical experience using ERP systems.

  • Working knowledge of stock planning, lead times and demand forecasts; able to spot potential supply risks.

  • Proactive and dependable, with sound prioritisation, problem-solving, ownership and independent judgement.

  • Previous experience in pharmaceutical logistics would be considered a strong asset.

  • Familiarity with AI tools or process automation would be considered an asset.

  • Applicants must currently reside in Malta.

Benefits:

  • An attractive remuneration package including a competitive salary and a benefits package.

  • A vibrant and inclusive company culture that values innovation, creativity, care and teamwork.

  • Personal and professional growth and development, with a focus on learning and skill enhancement.
