Administrative / Commercial Assistant

We are seeking a highly organised and detail-oriented individual to join John G. Cassar Ltd as a full-time Administrative / Commercial Assistant.

John G. Cassar Ltd is the importer and distributor of trusted brands such as LEGO, Moleskine, Pilot Pen, Maped, Legami, and Hallmark across toys, gifts, stationery, and office supplies.

This role requires exceptional attention to detail, strong organisational skills, and proficiency in Microsoft Excel.

Only candidates currently residing in Malta will be considered.

Responsibilities:

• Data management: Maintain accurate and up-to-date records using Excel, including data entry, analysis, and reporting.

• Communication: Handle phone calls, emails, and other correspondence with customers and suppliers.

• Document preparation: Prepare and edit documents, reports, and presentations as needed.

• Administrative support: Provide administrative assistance in projects on an ongoing basis.

• Inventory management: Monitor stock levels, track inventory, assist in organising stock replenishment, and handle stock take adjustments.

• Shipping coordination: Manage shipping processes, including preparing documentation, coordinating deliveries, and ensuring timely shipments.

• E-commerce and CRM: Manage the e-commerce sites, including Wolt and Bolt platforms, as well as CRM systems.

Qualifications:

• Education: Candidates with O' levels and significant relevant work experience are encouraged to apply, alongside those with higher qualifications.

• Experience: At least 2 years of experience in an administrative role.

• Knowledge in purchasing and shipping is desirable but not required.

• Proficiency in Microsoft Office, particularly Excel.

• Excellent attention to detail and organisational skills.
