About the role

Armstrong Operations Ltd is looking for someone to be the heart of our Malta office. You'll keep the office running, help build a positive team culture, and give our management team hands-on admin support so they can focus on running the business.

Key responsibilities

  • Office management (approx. 40%)

    • Run the Malta office day-to-day, including facilities, cleaning, maintenance and local suppliers.

    • Order and manage office supplies, kitchen stock, equipment and furniture.

    • Act as first point of contact for visitors, deliveries, post and general enquiries.

    • Coordinate with the landlord, IT support, security and other service providers.

    • Keep office budgets, invoices and supplier contracts in order, and pass them to the Finance team.

    • Keep health and safety, access control and office policies up to date.

    • Help with onboarding and offboarding: desks, equipment, access cards and welcome packs.

  • Mood manager / workplace culture (approx. 30%)

    • Plan and run team events, such as breakfasts, after-works, team days, holiday celebrations and milestones.

    • Mark birthdays, work anniversaries and personal occasions across the team.

    • Keep the office welcoming, with a good atmosphere, a stocked kitchen and a tidy shared space.

    • Collect regular feedback from staff and suggest ways to improve wellbeing and engagement.

    • Support internal communications, such as newsletters, announcements and the office noticeboard.

    • Help new starters feel welcome and settle into life at the office.

    • Be an approachable, positive presence everyone can turn to.

  • Junior PA to the management team (approx. 30%)

    • Manage calendars, book meetings and coordinate schedules across the management team.

    • Book travel, hotels and transfers for trips to and from Malta, and prepare itineraries.

    • Prepare meeting materials, take minutes and follow up on action points.

    • Organise board meetings, management meetings and visits from colleagues and partners, including rooms, catering and logistics.

    • Help with general business admin, filing documents and KYC / DD across the companies.

    • Process expense claims and keep records and filing organised.

    • Handle confidential information with complete discretion.

Who you are

  • You have 1–3 years' experience in office administration, reception, hospitality, events or PA work.

  • You speak and write English fluently. Other languages are an advantage.

  • You're highly organised and can juggle many tasks and changing priorities.

  • You're warm, energetic and sociable, and you like making people feel looked after.

  • You're confident with Microsoft 365 / Google Workspace and calendar tools.

  • You're proactive, spot what needs doing, and do it without being asked.

  • You're discreet, reliable and trustworthy with confidential matters.

  • You're flexible and hands-on, and no task is too small.

  • You're eligible to live and work in Malta.

What we offer

  • A varied role at the centre of our Malta office, working closely with senior leadership.

  • The chance to shape the office culture from day one.

  • Room to grow into an Office Manager, Executive Assistant or HR role.

  • Medical insurance.

  • Gym membership.

  • Laptop, headset, monitors and all other relevant equipment.

  • Drinks, snacks and Thursday lunch at the office.
