About the role
A dynamic company in St. Julian's is looking for a hands-on Finance Executive to run its day-to-day finance cycle. Reporting to the CFO, you will own bookkeeping in Xero, invoicing, company card expenses, payroll coordination and monthly reporting, and keep company records organised and up to date.
This is a steady, process-driven role: the same core finance cycle, run well every month. It suits someone who enjoys owning their processes end to end and wants a stable, long-term position.
What you will do
Manage day-to-day bookkeeping in Xero: recording transactions, bank reconciliations and month-end tasks
Process, record and track supplier and sales invoices
Manage company card expenses: collect receipts, reconcile transactions, follow up on missing documents
Prepare monthly bank statements and finance reports for the CFO and external accountants
Coordinate monthly payroll with our external payroll provider, including preparing and checking adjustments
Support VAT returns and handle accountants' and auditors' queries, including year-end audit requests
Liaise with corporate service providers, accountants, auditors, banks and legal advisers, following up on documents, filings and deadlines
Keep a structured archive of company documentation, and assist with KYC and due diligence requests
Coordinate corporate paperwork such as board resolutions, minutes, powers of attorney and registry filings, including arranging signatures
Track recurring deadlines and outstanding items, and give clear, timely status updates
Look for ways to simplify and automate finance, invoicing and documentation processes
What we are looking for
At least 5 years of hands-on, in-house bookkeeping (essential)
Bank and supplier reconciliations, sales and purchase invoicing, and company card expenses
Experience coordinating payroll with an external provider and preparing monthly reports
Hands-on Xero experience (a strong advantage)
A proven record of staying with employers, ideally 3+ years with at least one
Someone settled who enjoys running the same core cycle well, month after month
A self-starter who follows things through to completion without reminders
Organised, structured and detail-oriented, with clear and professional communication
Confident using finance systems and digital tools; practical use of AI or automation is a plus
Fluent English; Maltese is an advantage
Eligible to work in Malta
No accountancy qualification is required.
What we offer
A stable, long-term role in a small, collaborative team
Health insurance
Flexible working hours (office-based)
Regular company events
