Job Purpose  

We’re looking for a full-time Operations Controller to join our Operations Control Centre (OCC) team. This role is based in our Malta office near Malta International Airport and reports directly to the Head of OCC. If you have experience in flight  operations and are passionate about aviation, we’d love to hear from you  

Work closely with our established OCC based both inside and outside of Malta to help expand the Air Charter Scotland Europe  OCC in Malta. We are looking for a motivated individual who is looking to grow with the role. You will be expected to work in a fast-paced environment dealing with high-net-worth individuals and are expected to always deliver high-level customer service and clear communication. 

Key Responsibilities 

As an Operations Controller (also known as a Flight Dispatcher or Flight Operations Officer), you’ll be a vital part of ensuring smooth and safe operations. Here’s what your day-to-day will look like:  

  • Flight scheduling: Obtain overflight / landing permits, arrange handling / slots / parking, fuel, and supplementary services 

  • Flight dispatch and control: Prepare flight plan and crew brief, METAR and NOTAM analysis, oversee movement control, handle crew scheduling, and manage irregularities or emergencies.  

  • Ensure that any disruptions to the planned flying schedule are rectified as quickly and efficiently as possible. 

  • Accurate planning of flights, including the provision of flight documentation, flight plans, over-flight/ diplomatic clearances and any other flight brief data as required on a day-to-day and forward planning purpose. 

  • Route and airport feasibility: Conduct analyses to support commercial and flight operations.

  • Brief the Operations Manager on daily events on a regular basis.  

  • Liaise with clients, brokers, and personal assistants to gain and provide information regarding the planned flight schedules. 

  • Responsible for various flight operations projects, this could include but is not limited to the emergency response plan, operations manuals, audits, and SOP.  

  • Responsible for actions being taken within the department following audits/ inspections.  

  • Ensure that in the event of an accident or incident, the companies’ procedures are initiated and carried out to conform to current policy both within the company and within legislative requirements.  

  • Ensure that Operations department resources and equipment, including computer systems and communication systems, are used correctly and efficiently.  

  • Ensure that pre-flight documentation is prepared and provided to the flight crew in a timely fashion (typically 2 hours prior to flight).  

  • Administrative duties of ensuring that supporting records for trips are correct.  

  • Cost analysis: Coordinate with the accounting team on operational expenses.  

  • Ad hoc from management. 

Knowledge / Experience / Qualifications  

  • Experience, at least 1-year experience as an Operations Controller with a PPL (Private Pilot License) or an FOO (Flight Operations Officer License).  

  • Efficient project management skills.

  • Knowledge; comfortable with interpreting weather data (METAR/NOTAM), Nav Charts and aircraft performance (wide body).  

  • Ability to perform presentations with strong communication skills.  

  • Organizational skills.  

  • Reliable, persistent and action-orientated.  

  • Critical thinking skills.  

  • In-depth knowledge of business aviation in ideally ground operations, with an understanding of relevant regulations within EASA, such as flight entry requirements, FTL, and operations manuals.  

  • Excellent English language skills that allow you to communicate clearly in both written and verbal conversations. 

  • EU work permit: You must have the right to live and work in the EU. 

Objectives and Targets  

  • On-time performance for flight preparation.  

  • Meeting departmental KPIs for both budgeting and accuracy during flight preparation.  

  • Task management as delegated by the Ground Operations Manager / OCC Manager within Malta. 

  • Effective internal and external customer communications.  

  • Flight watch of active flights.

  • Work pattern OCC is running 24 hours, the goal is to have a wonderful team 24/7 roster pattern.
