We are now looking for diligent and organised Office Administrators to join the team at RE/MAX Property Centre in Victoria, Gozo, and continue building on strong foundations.

Overview
The Office Administrator will play a crucial role in ensuring the smooth operation of our office environment. The ideal candidate will be proficient in administrative tasks, possess excellent communication skills, and demonstrate the ability to multitask effectively.

Your Responsibilities:

  • Administrative support - Provide administrative support to ensure efficient office operations. This includes managing correspondence, scheduling appointments, and maintaining office supplies.

  • Reception duties - Act as the first point of contact for visitors and clients, answering and directing phone calls, and handling inquiries professionally.

  • Filing and data management - Maintain organized filing systems, both electronic and physical, ensuring all documents are accurately labelled and easily accessible. Assist in data entry tasks as needed.

  • Calendar management - Coordinate and manage calendars for office staff, scheduling appointments, meetings, and conferences efficiently.

  • Facilities management - Coordinate with vendors and service providers to ensure the office premises are well-maintained and all necessary repairs are addressed promptly.

  • Communication - Facilitate communication within the office, distributing emails, and other correspondences as required. Ensure that all employees are informed of relevant updates and announcements.

  • Assistance to management - Provide administrative support to senior management as needed.


What we’re looking for:

  • Previous experience in an administrative role will be considered an asset.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.

  • Excellent communication skills in both Maltese and English (verbal and written).

  • Strong organizational and time management abilities, with the capacity to prioritize tasks effectively.

  • Attention to detail and accuracy in all work processes.

  • Ability to work independently with minimal supervision and as part of a team.

  • Flexibility and adaptability to handle changing priorities and deadlines.

  • Discretion and confidentiality when dealing with sensitive information.
