The HR Executive position is responsible for various HR functions of the company operating in the Aviation industry, including employee engagement, retention, compliance, payroll and legal obligations. The role involves overseeing the entire recruitment process, from attracting candidates to onboarding, supporting employee training and development, and maintaining HR records.

Main Responsibilities:

  • Responsible for the recruitment process from Inception to onboarding including the publishing and management of vacancies on all media.

  • Responsible for maintaining full recruitment records and handling applications and candidates.

  • Responsible to assist Hiring Managers at all stages of recruitment including the assessment of candidates and profiling of hiring needs.

  • Assist in delivering company orientation / induction / training to new employees and facilitating newcomers joining formalities.

  • Support the Heads of Departments and employees to improve work relationships, build morale and increase productivity.

  • Assist and keep records of and identify training needs together with the department managers as may be needed for both new and existing staff.

  • Communicate and explain the compan's HR policies to all new and existing employees.

  • Revise company policies as may be required from time to time.

  • Assist the department managers in organising and handling staff appraisals.

  • Assist in any resolving grievances or queries of the staff.

  • Responsible for the collection and preparation of all necessary documentation required to process any staff work permits.

  • Responsible for the filing, registration, upkeep and renewal of work permits in line with local legislative requirements.

  • Prepare employment contracts and other legal documentation as needed.

  • Register employees with Jobsplus; Includes both engagement and termination forms which are required by law.

  • Responsible for the processing of the monthly salaries including the preparation of overtime verification and management.

  • Updating monthly scheduler to reflect any changes, overtime and extra hours worked.

  • Entering and keeping up-to-date employee data on to the company’s HR and payroll systems.

  • Managing and registering leave on the company’s Shireburn Indigo portal.

  • Be the first point of contact for employee queries on payroll. Answer any queries by employees about wages, deductions, attendance, and time records after having double-checked with the respective Department Manager or any other query related to employees.

  • Identify, investigate, and resolve discrepancies in timesheet and payroll records and highlight any possible abuse.

  • Handle the full and final settlement of the employee terminations.

  • Carry out exit interviews and compile reports with respective feedback.

  • Prepares, submits and records all relevant HR documentation which includes but is not limited to disciplinary action letters, promotions, engagement forms, termination forms etc.

  • Maintain and ensure that all HR records, such as those related to employee files, documentation resumes, letters etc. are up to date.

  • Follow up and compute HR-specific data (turnover, staff performance, recruitment, staffing needed, etc - statistics);

  • Foster a proactive HSSE attitude and observe and support all company HSSE initiatives and procedures at all times.

  • Any other duties commensurate with the employee’s skills, experience and competencies that the company may require and advise from time to time.

  • Adhere to all company HSSE policies and initiatives and proactively promote a HSSE environment.

  • Promote any duties assigned by the company from time to time, commensurate with the employee skills, competencies and experience.

Experience:

  • At least 2-3 years of experience in a similar HR or recruitment role, with specific experience in employee onboarding, payroll management, training, and performance management.


Qualifications:

  • Bachelor in HR or relevant field from a recognised academic or industry body such as CIPD.


Languages:

  • High proficiency in English.

  • Ideally proficient in any of the following languages:

    • French

    • Arabic

    • Spanish

    • Portuguese

    • Any additional languages would be an advantage.
