Learning Works is an accredited Further and Higher Education Institution set up in 2009 and was known as the CareMalta Academy prior to 2019. It offers courses in Health and Social Care, Catering and Hospitality, Leadership and Management, Sports, and Languages. Its mission is to provide high-quality education and vocational training with the aim of helping learners identify educational and career goals, develop skills necessary to achieve intellectual and personal growth, excel in their studies or area of specification enabling them to ultimately secure quality employment, career advancement and to reach their maximum potential.
The role
We are looking for a part-time smart and professional person to manage our front office and to perform a variety of administrative and clerical tasks. In this role, the selected person will be the first point of contact. She/he will oversee the students applying for the course, assisting clients and visitors with directions to the various parts of the premises, contacting and providing information to students and clients, answering phone calls, taking messages, filing, and sorting and distributing mail.
The selected person will have the following responsibilities:
- Greeting students, clients and visitors with a positive attitude.
- Directing clients and visitors to the respective offices / meeting rooms as necessary.
- Assisting in administrative tasks as might be required.
- Preparing and setting up of lecture rooms.
- Providing information by responding to general enquiries from visitors and callers, providing accurate information about the organization and its services.
- Answering phones in a professional manner, and routing calls as necessary.
- Managing office inventory such as stationery and other materials.
- Making use of computer software systems and updating all data input accordingly.
- Providing exceptional customer service to both internal and external stakeholders, addressing any concerns or issues promptly and professionally.
- Providing excellent customer service.
Qualifications and skills:
- In possession of at least an ordinary level of education.
- Prior experience as a Receptionist or in a similar position would be considered an asset.
- Excellent verbal and written communication skills.
- Good time management skills.
- Multitasking and can work under pressure and on its own initiative.
- Be competent in Microsoft applications.
- Have a flexible approach.
- Able to contribute positively as part of a team, by helping with various tasks as may be required.
