The role of the Junior HR Administrator has the responsibility for maintaining accurate records of employee attendance and working hours and supporting the Human Resources department in various administrative tasks. Whilst reporting to the Human Resources Team Leader, the HR Administrator is also responsible for tracking hours worked, vacation and sick time taken, and any other absences, maintaining employee records and ensuring that all necessary paperwork is complete and up-to-date and managing employee benefits, and support in the overall HR related queries ranging from employees to external partners.

General duties include but are not limited to:

  • Record employee hours worked and maintain accurate attendance data in databases or spreadsheets.

  • Distribute, collect, and verify employee timesheets for accuracy and timeliness.

  • Monitor and track employee attendance, including sick leave, vacation, and other absences.

  • Provide accurate time and attendance data to the payroll department for processing.

  • Ensure adherence to corporate guidelines for managing timekeeping functions.

  • Report any timekeeping discrepancies or system issues to superiors.

  • Maintain up-to-date employee records, ensuring completeness and accuracy of personal information, job details, and contract terms.

  • Assist with employee benefits management, including enrolment, communication, and addressing benefits-related inquiries.

  • Assist in recruitment by posting job openings, screening resumes, scheduling interviews, and other related administrative tasks.

  • Prepare employment contracts, work permits / visa applications, contract extensions, and termination documents.

  • Provide general administrative support to the HR department and assist in receptionist duties when needed.


Position requirements:

  • Must have a good level of secondary education  (an HR diploma will be considered an asset).

  • Experience and familiarity with timekeeping systems, software, and databases is preferred.

  • Attention to detail and accuracy in data management and reporting.

  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).

  • Strong organizational, analytical, and communication skills.

  • High level of accuracy and attention to detail in managing data.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Must be fluent in both Maltese and English languages, both oral and written.

  • A Clean police conduct certificate (must be presented).
