Job Description

Role purpose
The Facilities Manager is responsible for the general operations and coordination of all Videoslots work facilities – including but not limited to security, maintenance, and services – to ensure that they meet the needs of the organization and its employees. The Facilities Manager plays a key role in creating a stellar employee experience by ensuring an engaging work environment supported by top-class service and state-of-the-art facilities.

Accountabilities include but are not limited to:

  • Supervise multi-disciplinary teams of staff including facility and security
  • Ownership of facilities maintenance; ensure that all facilities, including water, heating and electricity are well-maintained
  • Control our ecosystem and safeguard the physical, psychological and social well-being of Videoslots employees by meeting OHSA standards
  • Ensure, together with our internal IT, regulatory risks and other relevant departments, that facilities and smart products meet government regulations, industry certifications and environmental standards
  • Negotiate and agree to contracts with providers regarding all services including cleaning, catering, security and so on
  • Manage budgets and ensure cost-effectiveness by forecasting, and allocating the financial and physical resources needed
  • Oversee the upkeep of equipment and supplies such as products, stationery, food supplies, office equipment and building materials
  • Allocate and manage space between buildings to ensure that the facilities are fully operational at all times
  • Effectively evaluate, implement and update relevant training programs
  • Schedule and oversee building projects, renovations, refurbishments and coordinate safety inspections
  • Draft, implement and oversee our security protocol with premises accesses including for visitors and outsourced contractors
  • Draft reports and make written recommendations in any relevant area of responsibility
  • Foster an excellent employee experience such as supervising decorations and furniture, get-togethers and any office-related activities
  • Liaising with the HR team and other teams in other relevant events and initiatives
  • Act as the Occupational Health and Safety Officer, responsible for ensuring that the Health and Safety policies and procedures are carried out in accordance with relevant legislation and that responsibilities for safety, health and welfare are properly assigned and accepted at all levels.
  • Ensure fire systems are tested monthly
  • Ensure fire extinguishers are serviced annually
  • Fire drills completed every 6 months
  • CCTV and Access system service every 6 months
  • Intruder alarm tested monthly
  • Generators are serviced monthly and a major service annually
  • Lift serviced every 6 months
  • OHSA Engineer lift inspection every 6 months
  • First Aid and Fire warden training as needed
  • Create new and replacement access cards as required
  • Provide images or recordings from CCTV
  • Conduct maternity risk assessments
  • Knowledge of ACAD or similar
  • Ensure all documentations are kept in an organized and updated manner. These include but are not limited to blueprints, service agreements, policies and procedures
  • Any other task / responsibility which may be related and/or connected to the role of Facilities Manager

This position is full-time Monday – Friday however due to the nature of the job, flexibility in working hours and on-call is necessary.

  • Experienced leader, with a proven track record of creating high-performing teams
  • Strong experience in managing and responding to multiple calls and inquiries
  • Experience in a fast-paced, high-volume environment
  • Excellent project management and problem-solving skills

  • Ability to receive and implement feedback and coaching

The Facilities Manager needs to have the following updated qualifications:

  • Fire Safety certificate
  • First Aid certificate
  • HACCP System certificate
  • Health and Safety at Work certificate
