Job Brief
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the Director’s working life and communication.
Responsibilities
- Managing the Director’s calendar, scheduling appointments, coordinating meetings, and travel arrangements.
- Build and maintain strong relationships with internal and external stakeholders, including executives, board members, clients, and partners.
- Support in the handling of personal administration and matters, as and when required.
- Handling confidential information with discretion and maintaining the highest level of confidentiality at all times.
- Taking minutes / following up actions.
- Assistance in compiling board and due diligence-related documents.
- Preparation and filing of companies’ annual returns with MBR.
- Preparation of KYC forms and bank-related matters.
- Planning and organisation of corporate events.
- Assisting in the recruitment and onboarding of new employees.
- Sourcing office supplies, new supplies when necessary, and ensuring that the office has everything it needs to function efficiently.
- Assisting in project management tasks / special projects.
- Assisting with any other ad-hoc duties.
- Run errands as requested.
Requirements and Skills
- Proven work experience as a Personal Assistant.
- Knowledge of office management systems and procedures.
- MS Office and English and Maltese proficiency.
- Outstanding organisational and time management skills.
- Up to date with the latest office gadgets and applications.
- Ability to multitask and prioritize daily workload.
- Excellent verbal and written communication skills.
- Discretion and confidentiality.
- Driving license.
