Job Description

We are currently seeking an Administrative Assistant to join our team.

Key Responsibilities:

  • Coordinating various communication channels
  • Managing appointments for the CEO and Chairman
  • Ensuring a warm and professional welcome for guests in the Executive Suite and handling main reception duties
  • Procuring and managing office supplies efficiently whilst monitoring supply levels
  • Conducting research to identify potential vendors and suppliers, obtaining quotes, and presenting findings in reports
  • Overseeing facilities management and maintenance activities
  • Handling document management tasks including printing, scanning, filing and taking proactive responsibility for obtaining the necessary signatures, or approvals
  • Contributing to the seamless onboarding process for new employees
  • Assisting in the planning and execution of company events
  • Coordinating travel arrangements
  • Undertaking any other tasks as directed

Requirements:

  • Valid driving license
  • Proficiency in English and Maltese, both written and verbal
  • Enthusiasm to learn and grow in an administrative role
  • Basic organizational and multitasking abilities
  • Familiarity with office software (e.g., Microsoft Office, Teams, Excel)
  • Ability to handle confidential information with discretion
  • A proactive and solution-oriented mindset
  • Strong attention to detail and accuracy
