Job Description

We are currently seeking a Front Office and Customer Experience (CX) Executive.

Duties and Responsibilities

  • Keep the front office tidy and presentable with all necessary materials.
  • Greet and welcome guests. Inform the appropriate personnel that their visitor has arrived.
  • Answer all incoming calls and redirect them or keep messages.
  • Receive letters, and packages, sort and distribute.
  • General office upkeep, sorting mail, filing, and data entering.
  • E-mail management of the info@mint.com.mt e-mail account.
  • Maintain an updated client database.
  • Contracting of pricing.
  • Issue invoices for orders received via telephone, email, online, or through sales personnel.
  • Issue online orders
  • Managing Facebook messages – offering guidance and support to online customers.
  • To follow the returns procedure.
  • Management of damages and returns pallets.
  • Logging, addressing and monitoring customer complaints.
  • Filing and reconciliation of signed invoices which are returned by the drivers following the delivery of goods.
  • Maintaining and filing all invoices and receipts.
  • Issue a report of expiring items every quarter and highlight any concerns to the manager.
  • Support in debtors collection.

General Responsibilities

  • Follow standard operating procedures, as well as GDP and company policies applicable to the job role.
  • Work as part of a team.
  • Complete training and assessments as and when necessary.
  • Report any deviations from the procedures in place.
  • Help out during a recall, as directed by RP.
