Job Description

Are you ready to embark on a dynamic career in the world of logistics? We’re seeking a talented individual to join our team as a Freight Forwarding and Shipping Assistant at our logistical base in Birzebbuga, Malta.

Your challenge

  • Freight Forwarding Responsibilities
    • Dive into the exciting realm of freight forwarding by obtaining quotations for both import and export shipments. Be a key player in increasing our hit rates and delivering top-notch quotes to clients.
    • Keep things organized! Maintain a comprehensive log of all quotations, issued documents, and profit details per shipment.
    • Get hands-on with the goods! Weigh and measure items for export, ensuring accuracy and precision.
    • Become a document maestro! Print shipping documents, including invoices, packing lists, AWB/BOL, and Customs Documents. Take charge of compiling and processing Customs documents.
    • Collaboration is key! Liaise with Customs Clearance officers and subcontracted haulers to ensure the seamless collection of original shipping documents, process payments, and manage shipments effectively.
  • Shipping and Vessel Movements Responsibilities
    • Be the captain of coordination! Ensure proper permissions are secured from Transport Malta for vessel entry into Maltese Territorial Waters.
    • Be the messenger! Inform Port Control, Pilots, Pilot Launch, mooring men, and tugs about the estimated time of arrival (ETA) of vessels.
    • Be the mastermind! Prepare arrival documents for Free Pratique, handle ship-generated waste declaration receipts, and ensure compliance with Transport Malta’s requirements.
    • Be the orchestrator! Coordinate cargo-related documents with the Operations Department to facilitate smooth offloading processes.
    • Be the go-to person! Organize conveyance boat services for cargo loading on vessels/rigs within/outside territorial waters and for crew changes when needed.
    • Be the communicator! Maintain regular contact with vessel charterers / owners to stay on top of vessel departure schedules.

Who are you

  • Hold an MQF level 2 of education in business administration.
  • Holds one (1) year of experience in an office environment or in a similar position.
  • In possession of an ECDL licence. intermediate to advanced skills in the use of MS Office applications.
  • In possession of a clean driving license (Category B), due to work location accessibility.
  • Ideally possesses a basic overview knowledge related to shipping and vessel movements.
  • Knowledge of written and spoken Maltese and English.
  • Holder of a valid work permit issued by respective Maltese authorities.
  • Able and willing to work flexible hours, including weekends and public holidays.
  • Be an excellent team player.
  • Must be accurate, precise, thorough and give attention to detail.
  • Maintain a good, cooperative and respectful attitude.
