Job Description

We are currently seeking a Warehouse Assistant to join our team.

Sorting

  • Receiving and signing for income deliveries
  • Sorting out the incoming stock by supplier (Monvo verification products should be kept separate)
  • Verifying the received stock against the invoice, checking the batch number, expiration date, and quantity received
  • Storing the sample and invoice in a box and place it on the “In-Input Pending” shelf

In-put

  • Inputting all relevant purchase invoice details into the system
  • Ensuring each invoice is recorded with correct quantities, prices, descriptions, and item codes
  • Verifying the accuracy of the invoices against purchase orders and delivery receipts
  • Notifying the price change on WhatsApp group of any price increases or decreases
  • Identifying any short-dating stock received (with less than 6 months until expiration) and discussing it with the Supply Chain Manager
  • Highlighting the receipt of any new products
  • Checking for discrepancies, such as incorrect prices or quantities, and addressing these with the Supply Chain Manager
  • Ensuring all invoices are filed correctly for easy retrieval during audits or inquiries
  • Following company policies and procedures regarding the handling of invoices
  • Scanning product verification
  • Using barcode scanners or handheld devices to scan products accurately
  • Following safety protocols while handling goods

Labelling

  • Applying appropriate labels to pharmaceutical products, ensuring compliance with regulatory standards
  • Ensuring that labels contain accurate information such as medication name, GTIN, batch number, expiry date, price and the QR code

Put-away

  • Moving products from the receiving area to designated storage locations
  • Using equipment such as hand trolleys, or pallet jacks to transport items
  • Properly storing products according to storage guidelines (e.g. temperature control)
  • Using FEFO (First Expired, First Out) method to manage stock rotation
  • Regularly checking stock levels to identify low inventory items that need replenishment
  • Helping resolve any issues related to inventory discrepancies or product availability
  • Participating in regular inventory counts to assess stock accuracy and identify any loss or discrepancies

Picking

  • Accurately picking medications and products based on specific orders
  • Verifying product quantity and specifications against order request
  • Securing picked items to prevent damage during transit
  • Reporting any discrepancies, damages or expired / short-dated items immediately to the Inventory Control Supervisor

Checking / Packing

  • Confirming the correct items and quantities are picked (item description, quantity, BN, Exp. date)
  • Inspecting items for any damages or discrepancies and reporting issues
  • Carefully packaging items to prevent damage during transport
  • Using appropriate packing materials, such as temperature-controlled packaging for fridge items
  • Labelling packages clearly, including shipment and handling instructions
  • Double-checking orders for accuracy before sealing and shipping

Other responsibilities

  • Following safety protocols at all times to prevent accidents or injuries
  • Assisting with training new staff as needed
  • Maintaining a clean and organized work environment to comply with safety and health regulations
