Job Description
We are currently seeking a highly organized and detail-oriented individual to join our team as a Purchasing Clerk. This role will be responsible for processing purchase orders, sourcing goods and services, and coordinating with suppliers to ensure timely deliveries.
Responsibilities:
- Liaise with suppliers to build relationships to ensure the best prices and quality are provided.
- Liaise with in-house departments to ensure the logistics of movement, storage, and operations run smoothly.
- Provide general administrative support, including answering phone calls, responding to emails and handling correspondence.
- Collaborate with other Administrative Assistants and departments to ensure seamless communication and workflow.
- Create and submit purchase orders.
- Communicate with suppliers to confirm order status and delivery dates and resolve any issues.
- Monitor delivery costs, shipments and delivery status.
- Check received orders and follow the process until they are delivered to the client.
- Submit monthly reports as required by the Sales department.
- Resolve any claims for damaged shipments / products.
- Monitor out-of-stock items and pending items list.
Requirements:
- Proven experience in administrative support or related field.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to prioritize tasks and work under pressure.
- Effective communication and interpersonal skills.
- Ability to work independently and in a team environment.
- Fluent in both English and Maltese is a must. Fluent Italian is an asset.
