Job Description

We are currently seeking a highly organized and detail-oriented individual to join our team as a Purchasing Clerk. This role will be responsible for processing purchase orders, sourcing goods and services, and coordinating with suppliers to ensure timely deliveries.

Responsibilities:

  • Liaise with suppliers to build relationships to ensure the best prices and quality are provided.
  • Liaise with in-house departments to ensure the logistics of movement, storage, and operations run smoothly.
  • Provide general administrative support, including answering phone calls, responding to emails and handling correspondence.
  • Collaborate with other Administrative Assistants and departments to ensure seamless communication and workflow.
  • Create and submit purchase orders.
  • Communicate with suppliers to confirm order status and delivery dates and resolve any issues.
  • Monitor delivery costs, shipments and delivery status.
  • Check received orders and follow the process until they are delivered to the client.
  • Submit monthly reports as required by the Sales department.
  • Resolve any claims for damaged shipments / products.
  • Monitor out-of-stock items and pending items list.

Requirements:

  • Proven experience in administrative support or related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize tasks and work under pressure.
  • Effective communication and interpersonal skills.
  • Ability to work independently and in a team environment.
  • Fluent in both English and Maltese is a must. Fluent Italian is an asset.
