Job Description

Job Brief
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the Director’s working life and communication.

Responsibilities

  • Managing the Director’s calendar, scheduling appointments, coordinating meetings, and travel arrangements.
  • Build and maintain strong relationships with internal and external stakeholders, including executives, board members, clients, and partners.
  • Support in the handling of personal administration and matters, as and when required.
  • Handling confidential information with discretion and maintaining the highest level of confidentiality at all times.
  • Taking minutes / following up actions.
  • Assistance in compiling board and due diligence-related documents.
  • Preparation and filing of companies’ annual returns with MBR.
  • Preparation of KYC forms and bank-related matters.
  • Planning and organisation of corporate events.
  • Assisting in the recruitment and onboarding of new employees.
  • Sourcing office supplies, new supplies when necessary, and ensuring that the office has everything it needs to function efficiently.
  • Assisting in project management tasks / special projects.
  • Assisting with any other ad-hoc duties.
  • Run errands as requested.

Requirements and Skills

  • Proven work experience as a Personal Assistant.
  • Knowledge of office management systems and procedures.
  • MS Office and English and Maltese proficiency.
  • Outstanding organisational and time management skills.
  • Up to date with the latest office gadgets and applications.
  • Ability to multitask and prioritize daily workload.
  • Excellent verbal and written communication skills.
  • Discretion and confidentiality.
  • Driving license.
