Job Description
The FIAU is seeking to strengthen the Legal Affairs section, by recruiting an Administrative Assistant to join their team.
The Role
- Assist with all co-ordination efforts undertaken by the Legal Affairs Section including the organization of training events and Public Private Partnership initiatives
- This would include the coordination of logistical aspects alongside other relevant internal sections of the FIAU, designing the agenda, sourcing of internal, external speakers, and participants, among other tasks and duties
- Ensure adequate recording of any statistical data pertaining to the Legal Affairs section
- Assist in the design of PowerPoint slides for training delivered by other staff members within the Legal Affairs Section
- Assist in the formatting and design of guidance and other documents drafted by the Legal Affairs Section
- Assist in the management of the Legal Affairs mailboxes
- Take minutes during meetings, and organize the same, as required
- Assist in administrative tasks in relation to court-related matters
- Provide general administrative support to staff within the Legal Affairs Section. This would include sending of emails as required, scheduling internal and external meetings, liaising with IT to upload content on the website and maintaining up-to-date folders and databases, among other tasks and duties
- Carry out other ancillary administrative duties such as filing, scanning, printing and photocopying of any documents as required
- Carry out other administrative tasks and duties as may be assigned by the Head, Senior Manager and Managers of the Legal Affairs section
Requirements
- The chosen candidate must be in possession of a School Leaving Certificate with at least 5 years of experience or in possession of an MQF Level 4 qualification with at least 2 years work experience relevant to this post
- Preference may be given to candidates in possession of a qualification in administrative and secretarial duties in a similar role
- Fluency in both Maltese and English languages is required
- Candidates should be well skilled in Microsoft Office tools
- Candidates must be able to work both independently and as part of a team, be well organized, collaborative, proactive, and have the ability to manage multiple tasks effectively
- Demonstrated work experience in a similar role and proficiency in graphic design tools such as Canva, will be considered an asset
