Job Description

The Accounts Payable Executive plays a crucial role in the financial operations of a company by overseeing the timely and accurate processing of accounts payable transactions. This position is responsible for managing and maintaining all aspects of accounts payable, ensuring that invoices, bills, and other financial obligations are properly recorded and settled in an efficient manner.

Responsibilities:

  • Receive, review, and process invoices, ensuring accuracy and compliance with company policies
  • Verify and match invoices with purchase orders and receipts
  • Maintain relationships with suppliers and vendors, addressing inquiries and resolving discrepancies in a professional and timely manner
  • Prepare and execute payments to vendors, including checks, electronic transfers, and other payment methods
  • Ensure that payments are made on time and accurately
  • Regularly reconcile accounts payable transactions to ensure that records are accurate and up to date whilst investigating and resolving discrepancies as needed
  • Maintain organized and accurate records of accounts payable transactions, invoices, and payment history
  • Prepare periodic financial reports related to accounts payable, providing insights into cash flow and expenditure patterns
  • Ensure adherence to company policies and relevant financial regulations
  • Continuously seek opportunities to streamline accounts payable processes, increase efficiency, and reduce costs
  • Review ageing report with the Financial Controller or his assistant
  • Support Financial Controller or his assistant with any ad hoc tasks that may be required

Qualifications and Assets:

  • Minimum of 2 years’ experience in a comparable role
  • Possession of a Business Administration diploma or equivalent qualification
  • Capacity to collaborate effectively in a team setting
  • Proficiency in managing multiple tasks and adaptable to accommodate sudden requests while meeting deadlines
  • Strong organizational and analytical capabilities
  • Familiarity with Shireburn SFM and SIMS is a valuable asset
  • Keen attention to detail and composure under pressure
  • Exceptional problem-solving and troubleshooting aptitude
  • Self-driven and capable of thriving in a fast-paced environment
  • Excellent written and oral communication abilities
