Job Description
The Office of the State Advocate is seeking to recruit a competent and suitably qualified Senior Manager to provide support to the State Advocate and assist in other administrative operations of the Agency.
Qualifications and experience required
- A recognised bachelor’s degree at MQF Level 6 (subject to a minimum of 180 ECTS/ECVET credits), or equivalent, or else a comparable professional qualification;
- At least one (1) year of relevant work experience;
- Applicants with A’ levels in both Maltese and English will be preferred;
- An ECDL certificate;
- A recent police certificate of good conduct.
Duties of the Senior Manager
- Supervise and coordinate any staff which may form part of the Office of the State Advocate;
- Provide administrative support to the State Advocate – including but not limited to the maintaining of the State Advocate’s agenda, minuting, scheduling and managing meetings both in person and virtually;
- Be reachable and of support, particularly in view of urgent court sittings, urgent parliamentary sittings, and urgent requests for advice;
- Be the first point of contact to the State Advocate: – including but not limited to welcoming visitors at the OSA, managing calls and messages to the State Advocate, acting as a first point of contact and / or reference point both for external authorities and for internal staff;
- Coordinate and support the Office of the State Advocate in the day-to-day running and administration of the OSA: – including but not limited to managing events, appearances and engagements of the State Advocate, booking and making both travel and accommodation arrangements, even at short notice;
- Coordinate media queries and interviews; formulate statements, press releases, articles and speeches on behalf of the OSA; monitor and report about any mention or any references, in the media, either to the State Advocate himself or to the OSA; and update the website of the OSA;
- Keep a high level of confidentiality, work under pressure and satisfy tight deadlines;
- Be able to work as part of a team and have excellent organizational and communication skills;
- Be able to communicate fluently (both verbally and in writing) in both Maltese and English; draft reports and / or Memoranda and / or Questionnaires and / or forms conducive to the smooth running of the OSA;
- Maintain and update the filing systems, the archives of the OSA, other frameworks, databases, and mechanisms of the OSA; support the digitalization process of the OSA;
- Project and foresee the operational needs and administrative exigencies of the OSA;
- Be able to work flexible hours; and
- Perform any other task, from time to time, as per State Advocate’s instructions.
Salary: €32,051.00 + performance bonus.
