Job Description

​We are seeking a highly organised and proactive Senior Committee Coordinator to join our team.

Below is a list of key responsibilities for this role:

  • Scheduling Compliance Monitoring Committee meetings including communication with members to determine availabilities for meetings attendance.
  • Acting as a point of contact and creating agendas for all upcoming meetings, including distribution of the agenda to all members and updating of the agenda in case of any changes. Coordinating time allocation per case to ensure the agenda is adhered to.
  • Coordinating with FIAU officers and the FIAU’s Agents to ensure that all required information, documentation and resources to be used during Compliance Monitoring Committee meetings are made available within stipulated timeframes. Coordinating the sharing of information before, during and after meetings with all members.
  • Taking an active role during Committee meetings, including but not limited to facilitating the discussion of legal issues, accessing portals and websites to provide the members with any information that may be required during deliberations and providing any assistance as required by Committee members.
  • Taking professional detailed minutes for all meetings held by the Compliance Monitoring Committee. Taking care of the finalization of minutes, obtaining relative signatures, scanning and saving signed minutes and keeping filed hard copies of the same, including any relevant annexes.
  • Upkeep of trackers and logs as required.
  • Keeping track of all Committee decisions and ensuring all decisions taken by the Committee are actioned whilst keeping the Committee abreast of any updates.
  • Liaising with local and / or foreign supervisory authorities in relation to enforcement measures taken by the FIAU as required.
  • Carrying out review and maintenance of the Enforcement section’s policies and procedures as necessary.
  • Providing training and helping officers in presenting cases before the Committee. This including and not limited to outlining key points from past cases discussed by the Committees and the decisions taken, including graphical representations of this information and key takeaways.
  • Attending FIAU court sittings as a witness or as required.
  • Contributing to the Unit’s governance programs, strategy and process development and enhancement.
  • Carrying out any other duties, ad hoc projects and assignments that may be assigned by the Director, Deputy Director, Section Head and Enforcement Managers.

Requirements

  • ​Either a university degree / equivalent qualification (MQF 6) in Financial Services, Banking and Finance, Economics, Law, Statistics, Accounting, Auditing or in any other subject, with at least 4 years of work experience relevant to this post, or an MQF Level 5 qualification in Financial Services, Banking and Finance, Economics, Law, Statistics, Accounting, Auditing or in any other subject, with at least 5 years work experience relevant to this post.
  • Experience in the scheduling and management of meetings and in minute taking.
  • Proficiency in the use of Microsoft Office Word and Excel.
  • Excellent written and verbal communication skills in the Maltese and English languages.
  • Translation skills from the Maltese to the English language are considered an asset.
